Autoresponders

Herodesk Basic

Answer instantly, even at midnight.

Send an automatic reply on the event you choose (conversation created, closed, or a message received) and turn each one on per inbox. Customers know they have been heard before anyone is at a desk.

The problem

Silence is the worst reply

A customer writes at nine in the evening and hears nothing until the morning. In the meantime they assume the message vanished, so they write again, or call, or give up.

  • Duplicate messages from customers who think the first one failed
  • No way to set expectations about when you actually reply
  • Holiday and out-of-hours periods handled by hand, or not at all
  • Nothing acknowledging a message on your busiest days

Why teams love it

Set expectations, cut the chasing

A single automatic acknowledgement removes most of the anxiety (and most of the duplicate messages) from waiting for support.

Nobody wonders if it arrived
An instant confirmation tells the customer their message landed, so they stop resending it through three channels.
Honest about timing
Say when you actually reply. A customer who expects tomorrow morning is not frustrated at tomorrow morning.
Covers the hours you do not
Out-of-hours, weekends and holidays get a proper response instead of silence.
Different per inbox
Sales and support can promise different things, because each inbox has its own autoresponders.

What’s inside

Three events, per inbox

Choose what triggers an automatic reply and where it applies.

On conversation created
Acknowledge a new conversation the moment it arrives: the classic "we have got your message".
On conversation closed
Send a closing note when a case is resolved, with anything the customer should know afterwards.
On message received
Respond when a new message lands on an existing conversation, not just at the start.
Enabled per inbox
Turn each autoresponder on for the inboxes where it belongs and leave it off elsewhere.
Exclusion lists
On higher plans, keep a list of addresses that should never receive a given automatic reply.
Custom auto-replies with rules
When you need conditions beyond the event, the rules engine can send a message based on anything about the conversation.

Also in autoresponders

Never auto-reply to a robot

Each autoresponder keeps its own list of addresses that should never receive it. Senders are checked before anything goes out, so two automated systems never start talking to each other.

Herodesk Plus

  • A list per autoresponder, not one setting for everything
  • Checked before the reply is sent, so an excluded address gets nothing at all
  • Keeps no-reply, order-confirmation and monitoring senders out of the loop

Autoresponders: acknowledge every message immediately

The most common complaint about support is not a bad answer: it is not knowing whether anyone received the question. Autoresponders fix that with an automatic reply triggered by the event you choose: a conversation being created, a conversation being closed, or a message being received. Each one can be turned on per inbox, so a sales inbox and a support inbox can promise different things.

Used well, an autoresponder does two jobs: it confirms the message arrived, and it sets an honest expectation about when a person will reply. That removes most duplicate messages and most of the chasing. On higher plans, exclusion lists stop specific addresses from ever receiving an automatic reply, which prevents loops with other automated systems. For anything more conditional, AI agents can send a message based on tags, channel, or anything else about the conversation.

Autoresponders are part of Herodesk Basic and up, used by webshops, B2B companies and SaaS companies across Europe. Herodesk is built and hosted in Scandinavia and 100% GDPR compliant. See pricing for what each plan includes.
